How do I Download Mails from my email ids in Outlook, Thunder bird ?

Procedure

Linux Web Hosting Downloading Mails via Outlook Procedure

You can able to download the mails  from your Email id to your local system by configuring your email id in the third party email client like outlook , thuderbird , etc. . .

Please follow the below procedure to connect with outlook .

Outlook Configuration
————————–

1. Launch Outlook Express

2. Click on Tools menu

3. Click on E-mail Accounts

4. Click on add anew Email Account and click on next

5. Click on POP3 and Enter the below details,

In User Information :

6. Enter Your Name [ Ex. test ]

7. Enter your existing email ID [ Ex. test@demo.com ]

In Logon Information :

8. User name : test@demo.com

9. Password : give password

In Server Information:

10. Incoming Mail Server : mail.yourdomainname.com ( or ) IP Address of the server

11. Outgoing SMTP: mail.yourdomainname.com ( or ) IP Address of the server

12. Click on More Settings

In that Click on Outgoing Server

13. Select/Check My outgoing server(SMTP) Requires Authentication

14. Select/Check use same settings as incoming server

15. You have to use the port number as 25 for outgoing email server (SMTP)  and 110 for incoming mail server (POP3).

16. Click on remember password

17. Click OK

18. Click on next and finish.

19. Click on SEND/RECEIVE menu in tools option >> Choose Receive All.

20. Click on unread messages to read your mails .

 

Please follow the below procedure to configure Thunderbird Email Client

If you are running thunderbird for the first time and have not imported any settings from another email client, you will be presented with the New Account Setup window

Select the type of account you would like to set up as email account

Click on Next> button

In the identity window, fill in your name and email address, then click the Next> button

In the next Server information window,select the type of incoming server as IMAP

Enter the name of your incoming server

Enter the name of your outgoing server

Click on Next> button

On the User Names Screen,you will fill in your ECE Unix username. This will be the same for both the Incoming username and Outgoing username

Click the Next> button

The next screen is for the Account Name.You can fill in whatever you want,or keep the default (which is what you previously filled in for your email address)

Click the Next> button

Finally, the congratulations window will show you what you have filled out

Check through to make sure you have the correct settings

Click the Finish button

When the wizard closes,you may see a message window pop up asking if you want Thunderbird set as the default mail application

If you do not want to perform this check again,then check next to “Do not display this dialog again”

If you want to set it as your default, then click the Yes button

If you do not want to set it as your default, then click the No button

In the Account settings section,when Thunderbird starts up, it will probably try connecting to the mail server immediately.

There are a few things that you will need to make sure are configured before you will be able to connect to the mail server

Go to the Tools menu

Select Account Settings

On the left side,select Server Settings and make sure that you have the following filled out:

Server name
Port
User Name
Check next to Use secure connection

For the rest of the settings on this screen, fill in what you want

Select Outgoing server (SMTP) on the left side and make sure that you have the faolowing filled out

Server Name
Port
Check next to User name and password
User Name : fill in your ECE Unix username
Use secure connection: select TLS

Click OK

Now you are back at the main Thunderbird window.Click on the Get Mail button which is in the top left corner to connect to the mail server

A window will pop up asking for your password.Enter your ECE Unix password and click OK

Now you can read your ECE email .

Email is duplicated in Outlook when downloaded using POP3

Error :

Same Emails downloading twice.

Reasons :

1.If you have enabled “leave messages on the server” then Outlook remember what messages it has downloaded and keeps a list of the “message IDs” for the messages it has downloaded. When it checks for new messages, it gets a list of all the message IDs on the server, compares it to the list or message IDs it has downloaded, and requests the messages it does not have. If the list of downloaded message IDs becomes corrupted, which is common especially when that list gets long, Outlook will “lose track” and start downloading all messages over and over again.

2.Your e-mail client is automatically checking for new e-mail, too often Checking more frequently than every 10 to 15 minutes can result in the next check beginning before the last one has ended. When that happens, the index file of the e-mail client will no longer be synchronized with the e-mail server, resulting in multiple copies of the same message.

Solution :

1.Un-check “leave messages on the server” and then “Send and receive” to get the mailbox cleaned out. You can then re-check it

2.Change the setting of your e-mail client so that it automatically checks for new e-mail no more frequently than every 15 minutes. You can manually force a check if needed, but be sure the last check has completely finished

I am Getting Error – User Exceeds Quota

Error :

“user is over quota”

Reason :

the domain exceeds the allocated disk space and hence it throws the error while you access webmail.

Solution :

For domains hosted under your reseller account, you can upgrade the domain by add a new package with more than the previously allocated resource and upgrade the domain to that package.

1. Login to your whm>>packages>>Add a package and allot the disk space more than previously alloted or you can edit the package which is previously allocated

2. Account Functions>>Upgrade/Downgrade an account>>Choose the domain you need to upgrade>>Choose the new package which you have created>>Upgrade/Downgrade

My Mails are struck (or) not responding after one or two mails in Outlook

Solution :

1. In Outlook >> Click on Tools >> Options >> Connections/Mail Setup
2. Uncheck Hangup after sending and receiving.

My Outlook asks the password again and again

Solution :

While configuring the mail ID in outlook Click on remember password in Outlook Configuration.
